Galatic Activity 26
Facilitate a standup meeting of 3 or 4 people. This is ideal for people who run status update meetings (eg. “Agile” or “Scrum”) in their workplace.
Activity 26 – Run a standup meeting
Duration: 5 – 10 mins
Applicable Streams: Personal challenge, Leadership, Learning & Development, Workplace skills, Education, Technical, Sales, Meeting Skills
Aim
In this activity you are aiming to:
Run an agile meeting as a Scrum Master
Objectives
To do this, you will need to keep the following objectives in mind:
- Decide on the type of agile meeting you will be running.
- Perform the meeting roles as per the type of agile meeting chosen.
- Keep the meeting on track and manage personalities and roadblocks during the meeting.

The Why…
‘Agile’ did start off mainly in the IT industry but it has recently expanded into many other industries so if your industry is one that uses ‘agile’ as an approach, this activity is for you!
This activity can also be run by an experienced scrum master to explain scrum and agile to people who are unfamiliar with the concepts. A person who is doing this activity could also do this as a workshop to explain SCRUM.
Where do I start?
Ascertain whether anyone else in the club is likely to want to complete this activity as well, so that you can work together on creating a series of meetings that will tie in together. If you’re the only one interested in this activity, discuss with your Program Director which variation is most appropriate – more than likely it will be the Sprint Planning or Daily Standup Meetings. You may need to provide some context and prepare the other speakers who will be taking on the other roles in the roleplaying of this activity.
The How
Specific guidelines on how to tackle this activity.
It’s recommended that you read through this page in detail before tackling this activity as it has clear instructions for each of the 4 types of agile meetings as listed in the variations below: https://www.wrike.com/blog/agile-meetings-guide/
Your role will be to run the meeting as a Scrum Master, while other speakers will play the other roles required. If there are various people who want to do this activity together, you could take turns at being the Scrum Master and work through the four types of meetings as listed below until you’ve all played the Scrum Master role.
Variations:
- Sprint planning meeting
- Daily standup meeting
- Sprint review meeting
- Sprint retrospective meeting
Tips and traps
TRAPS:
- Waffling or getting ‘off track’.
- Merging a daily stand up meeting with a sprint planning meeting.
- Allowing other members to ‘run away’ with the meeting.
TIPS:
- Know your goal, and stay focused on achieving it without interruptions or red herrings taking you off on a tangent.
- Manage the team members, encouraging them to collaborate and share ideas but maintain focus on what your end goal is.
- Use appropriate tools, templates and techniques to help you get the job done more efficiently. This article has many links to appropriate techniques you can use including ‘Start, stop, continue’,
‘Mad, sad, glad’, ‘Sailboat’, ‘The four L’s’.
